Privacy Policy

Version 1.1

On this page

OTHERDESK is operated by Alan Satis, an individual based in Portugal ("we", "us"), and is published on the App Store under the developer name OtherDesk. We are the controller of your personal data. Contact: contact@otherdesk.com

1. Information We Collect

  • Account: your email address and, if your sign-in provider (Google or Apple) shares it, your name.
  • Check-ins: the Wi-Fi, noise and seating you report at a venue, with the date and time.
  • Favourites: the venues you save.
  • Purchases: which access plan you bought and when. Payments are processed by Apple; we never see your card details.
  • Usage analytics, only if you opt in: which features you use, linked to a random identifier on your device, not to your account.
  • Location: read by the app while it is open, as described in section 2.

2. Location

The OTHERDESK mobile app uses your precise device location. The first time the map screen finishes loading, your device asks you to allow location access. Access is requested for foreground use only — while the app is open on screen. We never collect your location in the background.

If you allow access, the app reads your position once and then re-reads it roughly every 5 seconds for as long as the map screen stays open. It reads your position once more when you open a venue page. Your location is used to centre the map on you, to select the nearest supported city on first launch, and to show how far each venue is from you.

Your location is held only in the app's memory on your device for as long as the screen is open. It is never sent to us, never attached to your account and never included in our analytics. The map itself is provided by Mapbox, whose software may collect anonymous usage and location telemetry; you can turn this off at any time from the (i) button on the map.

Allowing location is optional. If you decline, the app still works — you can browse every city and venue, check in, and save favourites. The map shows an "Enable location to see venues near you" prompt, distances are hidden, and nothing about your position is collected. You can change your decision at any time in your device's system settings.

3. How We Use Your Information, and Why

  • To provide the app: your account, check-ins, favourites and access plan. Legal basis: performance of our contract with you.
  • To show venue conditions to other users, always without your identity. Legal basis: performance of our contract with you.
  • To analyse check-ins in aggregate, to understand how venues and the app are used and to improve both. This analysis never identifies you. Legal basis: our legitimate interest in improving the service.
  • Usage analytics. Legal basis: your consent, which you can withdraw at any time from the Profile screen.
  • To keep the service secure and prevent abuse. Legal basis: our legitimate interest.
  • To keep records required by law, such as tax and accounting records of purchases. Legal basis: legal obligation.

4. Analytics

OTHERDESK uses PostHog Cloud EU for analytics. Analytics are consent-gated and default to opted-out. No session replay or autocapture is enabled. You can opt out of analytics at any time from the Profile screen in the app.

5. Service Providers and Data Sharing

We do not sell your personal information. We share it only with providers who help us run the app, and only what each of them needs:

  • Supabase: database and sign-in. Servers in the EU (Ireland).
  • PostHog Cloud EU: usage analytics, only with your consent. EU.
  • RevenueCat: purchase management. United States.
  • Apple: sign-in, if you choose it, and payments through the App Store. United States.
  • Google: sign-in, if you choose it. United States.
  • Mapbox: maps. United States. Its software may collect anonymous usage and location telemetry, which you can turn off from the (i) button on the map.

6. International Transfers

Some of the providers above are based outside the European Economic Area. Where your data is transferred to them, it is protected by the safeguards the GDPR requires, such as the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses.

7. Data Retention

We keep your account information for as long as your account exists.

Check-ins are kept as a record of venue conditions. While your account exists they are linked to it, but they are never shown publicly with your identity: other users see only the conditions and the date. When you delete your account, your check-ins are permanently unlinked from your account and we keep no record that connects them to you. They remain only as anonymous venue data.

Usage analytics are linked only to a random device identifier, never to your account, and are kept no longer than needed to understand how the app is used.

You can delete your account at any time from the Profile screen, or as described on the Delete account page.

8. Security

All data travels between the app and our servers over encrypted connections (HTTPS). Access to our database is restricted: the app can read only what it needs, and who made a check-in cannot be read by other users or by the app. Payments are handled entirely by Apple.

9. Children

OTHERDESK is intended for adults and is not directed to anyone under 18. We do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.

10. Your Rights Under GDPR

OTHERDESK serves users in the European Union, and you hold the following rights over your personal data under the General Data Protection Regulation:

  • Access: request a copy of the personal data we hold about you.
  • Rectification: have inaccurate or incomplete data corrected.
  • Erasure: have your data deleted. You can do this yourself at any time from the Profile screen, which deletes your account and profile. Your check-ins are kept only as anonymous venue data, unlinked from you (see section 7).
  • Portability: receive your data in a structured, machine-readable format.
  • Objection and restriction: object to, or ask us to restrict, our processing of your data, including processing based on our legitimate interest. Analytics are opt-in and can be turned off at any time from the Profile screen.
  • Withdraw consent: where processing relies on your consent, withdraw it at any time without affecting processing carried out before you withdrew it.

To exercise any of these rights, email contact@otherdesk.com. We respond within one month. You also have the right to lodge a complaint with your national data protection authority (in Portugal, the CNPD — www.cnpd.pt).

11. Changes to This Policy

When we change this policy, we publish the new text here with a new version number and effective date, and tell you in the app when the change is significant. Past versions are listed in the version history.
